1. Who we are
Craftbuild Renovations Ltd. (“Craftbuild Renovations”, “we”, “us”) is a flooring and renovation company at 828 Gauthier Ave, Coquitlam, BC V3K 0E9. This policy explains what personal information we collect when you use our website, call us or book a visit, and how we handle it. We follow British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

2. What we collect
When you request a quote on our website
Your first and last name, email, phone number, project address (and the city and postal code worked out from it), whether you are a homeowner, contractor or business, the service you are interested in and your message.
When you call us
Our phone line, 778 901 7272, is answered by an AI assistant. Calls are recorded and transcribed, and you are told this at the start of every call. We keep your phone number (caller ID), the call recording and transcript, and the details you give us, such as your name, email, project address, project details and a preferred visit or callback time. An automated summary of the call is added to our customer records. If you would rather not be recorded, you can email us instead or simply leave your name and number for a callback.
When you book a site visit
Your name, email, phone number, the visit address and time, and a short description of the job. You receive a confirmation email.
When you email us
The content of your messages and any photos or documents you send.
When you browse our website
We use Google Analytics and Microsoft Clarity to understand how visitors use our site. These tools use cookies and similar technologies to collect information such as the pages you view, clicks and scrolling, your device and browser type, and your approximate location. Our address field uses Google Maps to suggest addresses as you type.
When you reach us through a Google ad
When we advertise on Google, Google may show a Google forwarding number on our ads and website so we can measure calls from ads. Google receives basic call details such as the caller’s number, the time and the length of the call. We may also tell Google which of those calls became quote requests (phone number and call time only) so we can measure our advertising.
Photos of our work
We may post photos of finished projects on our website and social media. We remove location data from these photos, and we do not publish customer names or street addresses.
3. How we use your information
- To reply to your request, answer your questions and prepare quotes.
- To schedule, confirm and carry out site visits and flooring work.
- To flag urgent problems, such as water damage, so we can respond quickly.
- For invoicing, warranty service and keeping the records the law requires.
- To improve our website, phone service and customer experience.
- To measure how well our advertising works.
We do not sell your personal information. We do not send you marketing emails unless you have agreed to receive them.
4. Who we share it with
We use trusted service providers to run our business. They may use your information only to provide their services to us:
- Retell AI answers, records and transcribes calls to our phone line, using AI and speech-recognition providers.
- Twilio provides our phone line.
- Cal.com handles site-visit bookings and confirmation emails.
- Google provides our email, calendar and spreadsheets (where we keep customer records), address suggestions (Google Maps), Google Analytics and Google Ads.
- Microsoft Clarity provides website usage analytics.
- Netlify hosts our website and keeps a backup copy of quote-form submissions.
- n8n, hosted by Hostinger, runs the automations that move information between these tools.
- Telegram delivers internal notifications to us about new calls and quote requests.
Some of these providers are located outside Canada, mainly in the United States, so your information may be stored or processed there and may be subject to the laws of those countries. We may also disclose information when the law requires it.
5. How long we keep it
- Call recordings and transcripts: deleted automatically after 90 days.
- Call log entries that did not become a quote request (for example wrong numbers or spam calls): deleted after 90 days.
- Call details prepared for Google Ads measurement: deleted after 30 days.
- Quote requests, bookings and customer records: kept as long as we need them to serve you and to meet warranty, tax and other legal requirements, then deleted.
6. Cookies and your choices
You can block or delete cookies in your browser settings, and our website will still work. You can also opt out of Google Analytics with Google’s browser add-on and manage ad personalization in your Google ad settings.
7. Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it (subject to legal or contractual limits, such as records we must keep). Email info@craftbuildrenovations.com and we will respond within 30 days.
If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
8. How we protect it
We take reasonable steps to protect your information from loss, misuse and unauthorized access. Access is limited to the people who need it to serve you, and we use secure, password-protected accounts with our service providers.
9. Children
Our services are meant for adults. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
